Different Client Types Virtual Assistants Meet – Part 2

In my post last week, we talked about the first 3 types of clients you may come across in your VA business.  We carry on the list below with 3 more client types:

Don’t pay Ray
When you sign up new clients, you should get them to sign a contract before any work is completed to ensure that they agree to your terms and conditions. For retainer clients, they purchase hours in advance so it is easier to manage – you don’t do the work if they haven’t paid. However, what can you do for project PAYG clients when you have already spent time on their work? It is recommended that you get a deposit of 50% up front before starting any work and then you invoice them the balance on completion of the work and get payment before handing over the project.

You need to refer to the terms and conditions that you have created for your business and action what it says regarding non payment e.g. do you charge interest? At what stage do you refer it to a debt management company etc?

I strongly advise you to stop any work you are doing for your non paying Ray until they have cleared the outstanding amount – you can’t allow them to run up huge debts.

Moaning Minnie
You may come across some clients who are not happy with your work. Sometimes this can be a genuine concern because you have done something wrong – no problem, fix it and apologise.

However, some people aren’t happy regardless of what you do for them even when there is nothing wrong with the work. I suggest you stop working with these clients immediately as they will totally drain you and you will start to resent them for how they make you feel. Give them the notice that your contract states and move on – you deserve a lot better.

Know it all Paul
Most people know someone who tries to help and offer you advice.  This is not normally a problem and can be very useful for you as you can learn from their experiences.

However, a Paul is someone who tells you how to run your business e.g. you should be doing this, I wouldn’t do that etc.  Be firm with them and say thanks, but no thanks. If you want advice, you can always approach them and ask.

1.    Define your audience.
Have a good think about who you want to be reading your blog. This is easier if you have a niche market because you will have a clear idea of who your customers are. If you don’t have a particular niche, think about what your clients have in common.

2.    Define your content.
Once you have decided who you want to reach, think about what information they would be interested in. Your blog is not a platform for you to continually trumpet about your services and how great you are, it is an opportunity to provide useful information for your readers.

Different Client Types Virtual Assistants Meet – Part 1

You are going to be working with a variety of different clients who all have their own personalities. This can be really fun if you pick the type of clients that you work well with as opposed to working with draining clients!

Some of the different types of clients you may come across are:

Always in a hurry Murray
Some people can’t operate unless they are causing mayhem and panic around them. You will probably have come across some of these people already – they always have an emergency that needs taking care of, always rushing from place to place etc.

These types of clients can be very draining and remember, this is your business and you don’t have to work with these types of people if you don’t want to – it is your choice.

Don’t delegate Kate
These are the types who realise they need your help but don’t delegate the work to you. You may have to chase them constantly for information relating to projects and you might end up feeling frustrated when dealing with their projects.

As long as you know that they are not great at delegating information, you can work out systems to ensure that your dealings with them are effective – just don’t have too many Kate clients.

Don’t respect you Sue
One of the most important processes of starting your business is about creating boundaries for yourself and others to respect.  When taking on clients you need to educate them about what your boundaries are so that they can respect them. However, you might come across clients who don’t respect the boundaries that you have established which can create a chaotic life for you.

You need to be firm with Sue as soon as they step on any of your boundaries. If you are not firm, your Sue will not respect you or your business and will continue to treat you this way. If you leave it too long before speaking with your Sue, the harder it is to get them to change their habit.

Virtual Assistant Tips For A Successful Client Consultation

1. Offer a telephone or face to face consultation.
By referring to this initial two-way meeting as a consultation, you immediately remove the employer/employee interview scenario and present yourself as a professional
business owner. You can also advertise this as a ‘Free Consultation’ which will attract those who want to find out more before committing to anything.

2. Set a specific time.
Whether you are advertising this as a free service or not, make sure you arrange a preset time for your consultation as it will instil in your prospect a certain amount of
respect for your time. It may be a free consultation but you are busy and have to schedule it into your day.

What Skills Do You Need to Become a Virtual Assistant?

One of the most popular questions we get from aspiring Virtual Assistants relates to what skills are needed to start up your own business.

Organised
As a VA, you will be working with a range of clients providing different types of support to each client. It is therefore imperative that you are an organised person who is able to switch between different tasks and work within different situations regularly.

Self Motivation
You are now your own boss which brings a whole host of positive points, but this also means you no longer have a boss to issue instructions, motivate and encourage you – or breathe down your neck! You need to consider if you will be able to motivate yourself each day to get the job done, even if you don’t have any clients yet. 

Relevant Work Experience
As a Virtual Assistant, we are charging for the experience and skills that we have gained and honed during our careers.  As we are charging for our skills, they need to be to an exceptionally high standard.

High Ethics
Again, we are charging for our time so high ethics and honesty are a must for all Virtual Assistants. Our clients have to trust us to do their work and believe what we report back. You need to be 100% honest with clients and work to high standards. 

Task Oriented
The work of a Virtual Assistant is very task oriented – just for different people. It is a juggling act and you need to make sure that all work completed is accurate and on time. If you don’t like doing some mundane tasks, then the route of a Virtual Assistant is probably not for you.

Software
Virtual Assistants are renowned for their excellent software skills and some VAs even offers software training as part of their services to clients.  Make sure that you are experienced in the software if you are going to offer it as a service to paying clients. For example, it wouldn’t be right to offer to produce high quality presentations if you don’t know PowerPoint.

Virtual Assistants – Tips For Setting Up Your Blog

The following tips are taken from our free report "10 Steps for Successful Blog Set Up".

1. Choose an easy platform. Choose a platform you are comfortable using and one which is simple and user friendly. Some people swear by Typepad, my personal favourite is WordPress.

2. Install it on your web space. Make sure that you can install the software on your own web space, i.e. under your domain name. This is important as search engines like new content such as that provided by regularly updated blogs and if it’s hosted on the software supplier’s web space and not yours, your website won’t benefit.

How do you add value to your clients?

The Virtual Assistant industry is getting bigger and better every day with more and more people starting their own VA businesses.  What this means for you is that you have more competition to deal with.

The trick is for you to stand out from the crowd so that you attract clients but also keep those valuable clients – it is a fact that it is easier to sell to your existing clients!

One of the things you can do is look at what added benefits you provide and compare it to your competitors to see what you are doing better and what they are doing better.

You need to be very honest with yourself and also objective as this is a very important exercise to do – there is no point getting emotional over your business, you need to think like your client.

Once you have done the analysis, have a think about what other benefits you can give to your clients. 

Think about:

One stop shop – do you have a supplier database that you can recommend reputable companies to match your clients requirements.  Clients come to trust their VAs so it soon becomes the norm when they are asking your advice on where to go and who to use. You could always think about teaming up with good suppliers who offer affiliate or rewards programme or so you can earn some passive income as well.

Referral system – do you reward people who refer work to you?  Think about offering an affiliate system to your clients and associates.  This is very appealing to clients who can earn money off their bill or commission each month just for recommending you to their contacts and clients.  Everyone loves passive income so make it easy for your clients.

Proactive service – do you provide a really proactive service or do you just respond to client requests?  Get to know your clients really well so that you can anticipate their needs in advance and therefore provide services or solutions before the client needs them.

Discounts – have you got products that you could offer discounts on for valued clients?  Everyone likes to feel special and a great way to do that for your existing clients is to reward them with discounts.

Think about what you could offer your clients so that you can stand out from the crowd in all your marketing material and then start implementing them now.
